Privacy Policy
Last updated: July 5, 2026
This Privacy Policy explains how [LEGAL ENTITY NAME] (“MedicalFrontDesk,” “we,” “us,” or “our”) collects, uses, and shares information when you visit medicalfrontdesk.com, submit a form, or use our services (the “Services”). By using the Services, you agree to this Policy.
Information we collect
We collect the following categories of information:
- Information you provide. When you fill out a lead, setup, intake, or demo-booking form, or request a call, we collect details such as your name, business name, email address, phone number, and any information you include in free-text fields.
- Chat and call content. If you use our chat assistant or request a demonstration call, we process the messages and call details you provide in order to respond and, where you request it, to place a call to the number you supply.
- Usage data. We collect limited, privacy- friendly analytics (such as page views and general device/browser information) to understand how the site is used.
How we use information
- To respond to your inquiries and provide the Services you request.
- To contact you about your request, including by phone, email, or text where you have provided your details for that purpose.
- To operate, maintain, secure, and improve the Services.
- To comply with legal obligations and enforce our terms.
How we share information
We do not sell your personal information. We share it only with service providers who help us operate the Services and who are bound to protect it, including our hosting and analytics provider (Vercel), our conversational-AI provider (Retell AI, which powers our chat and demonstration calls), and our customer-relationship-management system. We may also disclose information where required by law or to protect our rights.
Cookies, analytics & advertising
We use cookies and similar technologies to operate the site, understand usage, and measure and improve our advertising. In particular, we use the Meta Pixel from Meta Platforms, Inc. (Facebook and Instagram), which sets cookies and collects information about your visit so we can measure our ads and show relevant ads to people who have visited our site.
Where you provide contact details through a form on our site (such as your name, email address, or phone number), we may share those details with Meta — both through the Pixel's advanced matching and directly from our server (the Meta Conversions API) — in hashed (irreversibly scrambled) form. Meta uses this hashed information to better match your visit to a Meta account so we can attribute conversions and reach similar audiences. We do not send financial, health, or government-ID information.
You can control this through your device or browser settings, your Meta ad preferences, and industry opt-out tools such as the Digital Advertising Alliance.
Data retention
We retain personal information for as long as needed to fulfill the purposes described in this Policy, unless a longer retention period is required or permitted by law. You may request deletion of your information as described below.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or restrict the use of your personal information, and to opt out of certain processing (for example, under the CCPA/CPRA or GDPR). To exercise any of these rights, contact us at info@medicalfrontdesk.com. We will respond as required by applicable law.
Security
We use reasonable administrative, technical, and organizational measures to protect personal information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
Children's privacy
The Services are not directed to children under 16, and we do not knowingly collect their information.
Changes to this Policy
We may update this Policy from time to time. Material changes will be reflected by the “Last updated” date above.
